Cash Management in Shopify POS

Proper cash management ensures accuracy, accountability, and smooth guest transactions. This guide covers how to manage registers in Shopify POS, including opening and closing tracking sessions, making adjustments, handling change, and completing the end-of-day deposit.

Opening a New Tracking Session

A tracking session must be opened in Shopify POS whenever:
  1. The Manager on Duty is opening for the day.
  2. A register is being opened for the first time in a day.
Steps to open a new tracking session:
  1. On the Shopify POS home screen, select ≡ Menu > Manage register > Open session.
  2. Count the cash currently in the drawer.
  3. Enter the starting amount in Shopify POS.
    1. Each register should start with $200.
  4. Confirm and save to officially open the register.
Note: This starting amount becomes the baseline for all cash transactions during that session.

Adjusting the Starting Amount of Cash in Till

Sometimes the cash in the drawer needs to be increased or decreased after the session has already started. A register starting amount adjustment involves adding or removing cash.

You might need to adjust when:
  1. Staff can’t make the right change with the cash available.
  2. The drawer has exceeded your preferred limit (helps reduce theft risk or closing miscalculations).
  3. Staff needs to temporarily remove cash from the drawer for safekeeping.
Steps to adjust the starting amount:
  1. From Shopify POS, select ≡ Menu > Manage register > Adjust session.
  2. Choose whether you are adding or removing cash.
  3. Enter the amount and reason for adjustment (brief description is recommended).
  4. Save the adjustment.
Important: Always log the reason for the adjustment to maintain transparency and accuracy in daily reports.

Making Change for Registers

If a register needs more change (coins or small bills), use the cash/change till in the safe.

Steps to make change:
  1. Determine what denominations are needed (e.g., quarters, ones, fives).
  2. Take the needed amount from the change till in the safe.
  3. Replace it with the same dollar amount from the register.
    1. Example: If you remove $40 in ones from the safe, you must return $40 in larger bills (e.g., two $20s) from the register.
  4. The exchange should always equal out so the total cash remains balanced.
  5. Document the exchange in the Manager on Duty cash log.

Closing a Tracking Session

A tracking session should be closed whenever:
  1. There is a Manager on Duty shift change.
  2. At the end of the day, when registers are being counted down and closed.
Steps to close a tracking session:
  1. On the Shopify POS home screen, select ≡ Menu > Manage register > Close session.
  2. Count the cash in the drawer.
  3. Enter the counted amount in Shopify POS.
  4. Review the difference (if any) between the counted total and Shopify POS expected total.
  5. Save and officially close the session.
Note: At the end of the day, registers should be counted down to the starting till amount of $200. Any excess should be included in the deposit.

End of Day Deposit

At closing, the Manager on Duty is responsible for finalizing all registers and preparing the deposit.

Steps to complete the end-of-day deposit:
  1. Count down each register and return the starting till to $200.
  2. Record the total sales cash for each register (amount above the $200 till).
  3. Add together all register totals to get the deposit amount.
  4. Account for any differences noted during closing sessions. These should be logged.
  5. Combine all register cash into one single deposit for the day.
  6. Complete a deposit slip and place cash with the slip inside a deposit envelope.
  7. Place the deposit envelope in the deposit box outside the admin office along with the day’s paperwork (including register reports, Manager on Duty report, and Daily Rundown).
  8. Return the change/coin till bag to the safe.
✅ Following these procedures keeps registers consistent at $200, ensures accurate reporting, and provides accountability for daily cash handling.
